Mid Sweden University has a digital management of public documents in the Diariet.
Therefore, documents that are to be signed must be signed electronically via, for example, eduSign, Scrive, e-Avrop or other approved signing service.
It is possible for several people to electronically sign the same document.
More information about EduSign and how to use it can be found here.
An electronic signature does not apply to a scanned signature/signature, it is to be considered that the document does not have a signature.
Do not mix different types of signature ways (electronic and pen), as this may result in an invalid signature.
If the document received is signed with a pen, these are scanned and added to the case. In some cases, these need to remain on paper as well, the originals are then sent to the registry.
This applies, for example:
- Contracts with original signatures. This also applies to simpler agreements where the document has an original signature.
- Orders, confirmed quotes, etc., which replace contracts and have signatures.
- Minutes with signatures and, where appropriate, also adjusted. For example, from the University Board, faculty boards, councils to faculty boards, CSG, subject and research colleges, MBL negotiations and more.
- Documents received on paper that contain probative value. Examples of documents are claims or documents that initiate some kind of dispute procedure.
Please note that all these types of documents can be signed electronically.
For more information and more examples, see Deletion Decision 2023-3 Disposal of paper documents after scanning, appendix 1 Original paper documents (MIUN 2023/724).
Things to consider
Signatures within the university are often requested to a greater extent than necessary. Therefore, consider whether a signature is needed at all or can be replaced with another solution.
If you need help finding out what applies to signing a certain document, contact one of Mid Sweden University's lawyers.
Please note that if a signature is deleted, registration or preservation in another IT system may still be required.
